Inbound Calls & Survey Submissions: Capturing Your Leads

This section of your dashboard helps you understand how effectively your business is capturing inbound leads.
It shows:
  • How many people are reaching out
  • How those leads are coming in (calls vs forms)
  • Whether opportunities are being captured — or missed

Start With the Right Filters

At the top of the report, you’ll see several filters.

What matters most:

  • Date Range → Set this to the timeframe you want to analyze
    • Most commonly: previous month, quarter, or year
  • Caller Type (Inbound Calls) → Set to First-Time Callers
👉 This ensures you’re looking at new leads, not repeat calls.
Other filters (location, tracking number, call status) can typically remain unchanged unless you're analyzing something specific.

📞 Inbound Calls

This section shows how well your team is handling incoming calls — one of the most important lead sources.

Call Performance Metrics

You’ll see a breakdown of:
  • Total Calls → Number of inbound calls
  • Answered Calls → Calls that were picked up
  • No Answer → Missed calls
  • Voicemails → Calls that resulted in a voicemail
👉 This is critical because it directly reflects how well opportunities are being captured.

Key Insight:

If a high number of calls are:
  • Missed
  • Or going to voicemail
…it likely means missed revenue opportunities.

Calls Over Time

This chart shows when calls are coming in.
Use it to identify:
  • Busy days or times
  • Trends in call volume
  • Potential staffing or availability gaps

Call Details

At the bottom, you’ll find a detailed list of inbound calls, including:
  • Contact information
  • Call date and time
  • Call status
  • Call duration
👉 This is helpful for reviewing individual calls and identifying patterns.

📝 Survey Submissions

This section tracks leads who reach out through your website forms.

Submission Metrics

At the top, you’ll see:
  • Total number of submissions
  • A chart showing submissions over time
👉 These represent leads who prefer to submit information instead of calling.

Submission Details

Below, you’ll find a detailed list of submissions, including:
  • Name
  • Email
  • Form submitted
  • Submission date
  • Responses to form questions
👉 This gives you full visibility into what potential customers are requesting.

How to Use This Section

This report helps you evaluate lead capture performance.
Use it to answer questions like:
  • Are we answering enough of our calls?
  • Are we missing opportunities due to missed calls or voicemails?
  • Are leads coming in more through calls or form submissions?
  • Are there trends in when people are reaching out?

⚠️ Key Insight

Generating leads is only part of the equation.
👉 Leads must also be captured and responded to.
Even strong marketing performance can fall short if:
  • Calls aren’t being answered
  • Follow-up is delayed
  • Opportunities are missed

Simple Way to Think About It

  • Calls → Immediate inbound opportunities
  • Answered Calls → Opportunities captured
  • Missed Calls / Voicemails → Potential missed revenue
  • Survey Submissions → Website-generated leads
